Privacy Policy

This Privacy Policy explains how Coaching for Startups LLC, a California limited liability company ("Company," "we," "us"), collects, uses, and protects information in connection with Emailligent (the "Service"). This Policy is a statement of our current practices, not a contract, and may be updated as described below.

1. What Emailligent Does

Emailligent connects to your Google/Gmail account with read-only access so you can search, analyze, and extract information from your own email. We do not draft, send, schedule, or delete email.

2. Information We Collect

  • Account information. When you sign in with Google, we receive your basic profile information (name, email address).
  • Gmail data. With your consent via Google's OAuth screen, we access your Gmail messages and metadata (including headers, message content, and attachments) on a read-only basis, and store copies and derived data (such as search indexes, embeddings, and extracted fields) so the Service can answer your questions quickly.
  • Usage and device data. Standard logs and product-usage information (features used, timestamps, approximate performance data) used to operate and improve the Service.
  • Payment data. Payments are processed by Stripe. We receive subscription status and limited billing metadata; we do not store your full card number.

3. How We Use Information

We use information to: (a) provide and operate the Service's user-facing features (indexing, search, question answering, list extraction); (b) secure the Service, prevent abuse, and debug and fix issues; (c) provide support and communicate with you about the Service; (d) process billing; (e) improve and develop the Service (for Google user data, only to provide and improve user-facing features, consistent with the Limited Use requirements in Section 4); (f) enforce our Terms and establish, exercise, or defend legal claims; and (g) comply with law.

AI processing. To power its features, the Service sends relevant portions of your email content to third-party AI providers (currently Anthropic and OpenAI) under API terms that restrict their use of your data to providing the service to us, plus limited trust-and-safety, abuse-monitoring, and legal-compliance purposes. We do not use Google user data to develop, improve, or train generalized (non-personalized) artificial intelligence or machine-learning models, and we do not transfer Google user data to third-party AI tools for that purpose; our AI providers are prohibited from using data processed for Emailligent to train their models.

No ads. No selling. We do not sell your personal information, do not share it for cross-context behavioral advertising, and do not use your email content for advertising of any kind.

4. Google API Services — Limited Use Disclosure

Emailligent's use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements. Specifically:

  • We only use Gmail data to provide or improve user-facing features that are prominent in Emailligent's user interface (indexing, search, question answering, summaries, and list extraction).
  • We only transfer Gmail data to others if necessary to provide or improve those user-facing features (such as the AI processing described above), to comply with applicable law, to protect against malware, spam, phishing, or other fraud or abuse, or as part of a merger, acquisition, or sale of assets after obtaining your explicit prior consent.
  • We do not use or transfer Gmail data for serving advertisements, including retargeting, personalized, or interest-based advertising.
  • We do not allow humans to read your Gmail data unless (a) we have your affirmative agreement to view specific messages or data (for example, permission you give during a support request), (b) it is necessary for security purposes such as investigating abuse, (c) it is necessary to comply with applicable law, or (d) the data has been aggregated and anonymized and is used only for internal operations.
  • We do not use Google user data to develop, improve, or train generalized (non-personalized) AI and/or machine-learning models, and we do not transfer Google user data to third-party AI tools for that purpose.

5. Storage and Security

Your data is stored with our cloud infrastructure providers (currently Supabase and Railway) in the United States, encrypted in transit and at rest. Access is restricted and credentialed. No system is perfectly secure, and we cannot guarantee absolute security; you use the Service at your own risk.

6. Sharing

We share information only with: (a) service providers acting on our behalf (cloud hosting, AI processing, payments, email delivery), bound by confidentiality and use restrictions; (b) authorities when required by law or to protect rights, safety, or the integrity of the Service; and (c) a successor entity in connection with a merger, acquisition, or sale of assets — for information received from Google APIs, only after obtaining your explicit prior consent; for other information, with notice to you. We may use aggregated or de-identified information that cannot reasonably identify you for service analytics.

7. Retention and Deletion

We retain your data while your account is active. You can disconnect Gmail at any time in Settings, or by revoking Emailligent's access in your Google security settings; disconnection stops further collection of Gmail data. You can delete your account at any time by emailing us. Upon account deletion, we will delete or de-identify your stored Gmail data and derived personal data within 90 days, except where retention is required by law, for security, to resolve disputes, or to enforce our agreements; residual copies in encrypted backups are overwritten in the ordinary course of our backup cycles. We may retain limited billing and legal records as required by law.

8. Your Choices and Rights

You may access, correct, or delete your information, or request a copy, by emailing us. Depending on your jurisdiction (including California), you may have statutory rights to know, delete, correct, and port personal information, and the right not to be discriminated against for exercising them. We honor verified requests as required by applicable law. We do not sell or share personal information as those terms are defined under California law, so no opt-out is needed.

9. Children

The Service is not directed to anyone under 18, and we do not knowingly collect information from children. If you believe a child has provided us information, contact us and we will delete it.

10. Changes

We may update this Policy from time to time. If we make a material change, we will notify you at least 15 days before it takes effect, by email to your account email address and/or by prominent in-product notice, and the change will take effect on the stated effective date. Non-material changes are effective when posted. We encourage you to review this Policy periodically.
